WhatsApp front desk for studios, clinics and spas — Clavis

Clients message on WhatsApp. The studio answers in seconds.

Clavis is software for appointment-based studios, clinics and spas. Clients message the studio’s own WhatsApp number, get an answer in seconds and confirm a time in the chat; the team and the owner run everything else from the same system. It was built inside E-Pulsive, a studio in London, and has run it since August 2026.

Can my clients book sessions over WhatsApp?

Yes. A returning client sends one message, such as “Can I come in on Thursday after work?”. Clavis answers in seconds with the times that fit, and the client confirms in the chat. A first-time visitor takes 3 to 5 messages, because Clavis asks who they are first.

For comparison, on a web booking page a new client passes 11 screens and a returning client taps 3 times. On WhatsApp a returning client sends 1 message. See it step by step.

How can a studio stop answering booking messages by hand?

Let the studio’s WhatsApp answer them. Clavis replies in seconds on your own number and in your website’s chat, and hands the conversation to a person when it should. Mario Kaspers built it to run his own studio and stopped answering booking messages there when it went live in August 2026, apart from the conversations it hands to the team.

Is it a chatbot on top of a calendar?

No. The chat is the front door to the system that runs the studio: appointments, clients, packages and memberships, payments on the studio’s own Stripe account (0% of the card processing goes to Clavis), the trainer rota and payroll, the dashboard and the booking site. The assistant, the team and the dashboard all call the same 200+ actions, and every call is logged.

Can the AI make things up?

The AI is not trusted: the system checks it. It can’t claim work it didn’t do, and every action it takes runs through the same checks and the same log as the team’s.

Can I run the studio from ChatGPT?

Yes. The owner can ask ChatGPT or Claude how the week went, who hasn’t been in for a month or what a trainer is owed, then act on it. It calls the same checked, logged actions as the dashboard. In ChatGPT this needs Developer Mode on a paid plan, and anything that changes something asks you to confirm first. See it step by step.

Does it reply in my clients’ language?

When a client writes in another language, Clavis replies in it, and in English if the translation can’t keep every detail. It has answered clients in French and Spanish. Template messages, emails and the booking pages stay in English.

Who is it for?

Appointment-based studios, clinics and spas: personal training, physio, bodywork and treatments. The Studio plan covers one site, up to 6 trainers and up to 300 active clients.

Not a fit yet: class-based gyms, because there is no class timetable or waitlist yet (they are on the roadmap). And it keeps no clinical records: a clinic keeps those in its own system, and Clavis sits next to it for the appointments and the messages.

What does it cost?

A platform price and a receptionist, month to month, with 30 days’ notice and no exit fee. The platform is £179 a month: appointments, clients, packages and memberships, payments on your own Stripe, the rota and payroll, the dashboard, the booking site, ChatGPT for the owner and unlimited staff logins. The AI Receptionist is £89 a month: WhatsApp and web chat on your own number, with 200 AI conversations a month. Overage is 45p a conversation, capped at £90, so the most a month can cost is £358. The first studios after Mario’s own get a founding rate. The price, in full.

Is there a free trial?

No, and there is no signup button: every studio on Clavis is set up by hand. Start with the live demo, then a 20-minute call with the person who built it.

How do I see it working?

The live demo runs a demo studio of its own: message it as a client, then see the studio’s side. To talk it through, book a 20-minute call with Mario.
